The individual Google Workspace tools work in concert - the more of them you use, the better they all work. And every so often, a single tools makes all others more valuable. Enter Google Cloud Search - a search engine powering all of Google Workspace, to help you find everything you have access to.
Cloud Search searches all your information. Let that sink in a moment: All. Your. information. It searches your entire corpus, a fancy word meaning everything that is available to you. Every email you have sent. Every annotation you have made. Every document somebody has made available to you.
Have you ever looked for an email and ended up finding the information you needed in a Slides? Cloud Search saves you time by looking everywhere at once.
All services have individual interfaces, which determines how results are displayed and what parameters are available. Gmail will display everything chronologically. Cloud Search displays everything (including results from Gmail) by relevance, so you have two ways of finding content.
cloudsearch.google.com starts out with your upcoming meetings, files relevant to them, files you've been working on recently and much more. Many people use Cloud Search for more than just an astonishing search engine.
I hope you are sitting down. You're about to increase your daily Cloud Search queries from 0 to about 50 and to wonder how you lived without it.
In Chrome, click Menu > Settings.
In the side panel, click Search engines > Manage Search Engines.
Click Add to add Cloud Search.
Name: This is the title that will be shown in the address bar when you type the keyword. I use Google Cloud Search.
Keyword: You need to type this to bring up Cloud Search - so it better be short and memorable (and not conflict with other search engines you may have). I use cs.
URL: This will be sent to the site and must be exactly https://cloudsearch.google.com/cloudsearch/search?q=%s
Save and you're done!
Open a new tab and type "cs" (or whatever keyword you chose). A little text will appear: "Press tab to search Google Cloud Search". Press tab and type your actual search phrase!
Now that you know Kung Fu, it's time to unlock the powers of Cloud Search. You can use natural language, no need to learn nerdy abbreviations and operators.
To start, try typing:
Holger Matthies (brings up my contact card and any recent emails & events)
Email from Holger Matthies (brings up only recent emails)
Documents shared with me that need attention - anything that has assigned actions
Sheets owned by Mary
Email to Joe last week
Here is more inspiration from Google. If you do like search operators, here they are.
Tip: The little "search the web" entry at the bottom of the search panel will open a Google search in a new tab, to search the whole world. As will Shift+Enter. But we wanted to keep it not nerdy.
I love helping others use Google Workspace - and Cloud Search always comes out as "Why didn't you tell me that before". Here's to hoping this will be an old hat really soon. Please set up your Cloud Search shortcut today - it really only takes two minutes. And do a couple of searches to start being impressed. Spread the word and thanks for reading!
